January 2021 Product Adoption Tip: Navigating Between Applications Using Web Links

Navigating Between Applications Using Web Links

Quick navigation and ease-of-use are critical elements to engage your Prophix users. Reducing clicks and granting quicker access to important resources can improve product adoption, increase productivity, and raise user satisfaction. In each new release, Prophix strives to improve the usability of our user interface.

You will find one such example in our Fall 2020 Release called Web Links!

  • Web Links is a new function in Document Explorer that allows you to quickly link different applications to Prophix

  • Web Links offers an intuitive way to link external applications like Sage or other cloud-based ERPs to Prophix

  • Once the user adds their URL to a Web Link, they can access their application with a single click

  • This helps to conveniently switch between different applications

  • Web Links allows users to create a shortcut to a URL for quick navigation between apps

  • If you don’t want to toggle between browsers to view different applications, you can store all your frequently used applications on Prophix using Web Links

  • You can also add Web Links to a Dashboard, so you can open an external application directly from the Dashboard

How To

Use Cases of Web Link

  • Create a folder called ‘Quick Links’ and add a URL from an external application

  • Another way would be to create department-specific folders, add Web Links specific to each department, and change the folder security to a group. This will grant access to the Web Links to members of that group

  • You can assign Web Links to a user as Favorites. E.g., if you have a user who needs to keep track of Bank of Canada’s website, then you can assign a Bank of Canada Web Link to that user

  • You can also add a Web Link to your Dashboard’s Favorites. This will enable a user to open the application directly from his or her dashboard

Web Links is a quick and convenient way to access your third-party applications and you can use this feature in a number of ways. Tell us how you will use this feature!

I like this. I’m not sure what I would currently use this for though

This will be useful for us to refer budget owners to the IRS mileage rate update site.

We revisit the models only few times a year. However it is a good tool to use if we are doing reporting on a regular basis

I love the idea of linking to IRS mileage rates. This could also be expanded to many other aspects of the budgeting process. Thank you for the idea!

You can use this functionality to bookmark your most visited websites. For instance, if someone uses their accounting software like QuickBooks to tally their data with Prophix, they can add that website to Web Links on Prophix so they can quickly access it.

Hi Imtiaz, Web Links are more like a supplementary application to your normal use. So, whenever you are on Prophix and happen to go to other websites as a source of reference you can use Web Links to create shortcuts to those websites. Also, with assigning Web Links to end-users’ dashboard, it enables end-users to quickly access websites from their dashboards whenever they want.

This is great but does not work for our intranet.

Hi Jamie, do you see an error? Also, are you able to view those websites through your browser using your intranet?

I have the same issue. A Prophix rep was able to do it on his side in our environment, but I am not able to set it up and use it. Most likely a firewall issue. Bummer!

Thank you for sharing these tips!

We will give it a try.
