To continue with our spring cleaning theme, let’s talk about finding the files, folders, and other items we need. Prophix enables users to search, sort, and tag every document to help you pinpoint your searches.
Where is my document?
A very simple way to find your document is to open Document Explorer and search for your document name. In the example below, I’m searching for any forecast documents.
Open Document Explorer
Locate the search bar at the top right of your screen
Type your criteria in the search bar and hit “enter” or click on
In our example, the system returned 13 results for “forecast”
Sorting
You can easily organize a list of documents and folders based on your preferences:
Name
Type (i.e. Folder, Data View, Template Studio, Process Group, etc.)
Last modified (the date it was last edited)
Also, each user can hide or display Document details. If your main focus is “Name” and “Type,” you can uncheck the rest.
Tagging Documents
If you’re seeking additional categorization because the typical file folder structure is not detailed enough, you can tag each document or provide additional details (i.e. instruction or purpose).
How to tag?
Select your document
Click on the “Properties” icon
Enter the tag (in this example, “Revenue by Channel”) or detail
Searching tags
Type your tags or keyword in the search bar and see all your documents appear.

The search feature was absolutely helpful, especially when I first started and wasn’t sure where everything was located. Or when I knew I was looking for something but didn’t know the complete file name, the search feature allowed me to see a variety of files that may or may not be useful to me. But, I was not aware of the tagging feature - think this would come in handy! Thanks for sharing !
Love the tagging feature. I’ve got so many reports and data views that are very similar that it’s hard to remember which one is which. I’ll start using this tool for sure.
